Run a project

A project list, with stages if it needs them.

First, an honest limit

NewTwos is not project management software. There are no assignees, no statuses, no dependencies and no reporting. If you need those, use something built for it.

What it is good at is a project run by one or two people, where the real need is a place to keep everything and a way to see what is next.

Set it up once

  1. 1

    One list for the project

Named so you can find it in a year.

  2. 2

    Headings for the stages

Three or four. These become board columns. See headings.

  3. 3

Switch it to the Board layout

Dragging between columns is the whole interaction. See layouts.

  4. 4

Sublists for the parts with their own detail

So the parent list stays readable. See sublists.

The rhythm

Daily: clone the two or three things you are doing today onto Today, so they appear in your day without leaving the project. Finishing one updates both. See clones. Plus

Weekly: open the board, move what moved, and delete what is not going to happen.

Make it yours

  • Share it if someone else is involved, with a mention when something is theirs. See collaborate on a list.
  • Set a review date so it comes back if you go quiet on it. See review a list.
  • Archive it when it ends, rather than deleting. See archive.

What this looks like after a month

A board that reflects reality, because updating it is dragging rather than filling in fields. The clone-to-today habit is what stops the project becoming a list you look at on Fridays.
