Roles and presence
Who can do what on a shared list, and who is in it right now.
The roles
| Role | Can |
|---|---|
| View | Read only |
| Edit | Add, edit, complete and delete things |
| Admin | Everything, plus managing who else has access |
Give edit by default. View is for people who need to see a list rather than keep it, and admin is for someone who genuinely co-owns it.
Public edit
A list can be opened for editing by anyone with the link, rather than by named people.
Use this carefully. It is right for a party list among friends and wrong for anything you would mind being vandalised or read.
Presence
You can see who else is looking at the list, which stops the two of you editing the same line at the same time.
Going further
Roles can change. Promoting or demoting takes effect immediately, and demoting someone mid-edit stops them writing.
Deleting a shared list affects everyone. Collaborators lose access. If it matters to other people, hand it over or leave it instead. See duplicate, rename, delete.
Leaving is yours to do. Anyone can remove themselves from a list they were invited to.
Tips
- Make one other person admin on any household list. Otherwise it disappears if your account does.
- Review who has access on old shared lists occasionally. Access outlives projects.
